Position Title: Order Management Specialist
Department: Customer Service & Sales Operations
Reports To: Director of Customer Service & Sales Operations
Job Type: Full Time
Shift: Monday - Friday 08:00 AM - 05:00 PM
Exempt / Non-Exempt: Non Exempt

Purpose:

The Order Management Specialist is responsible for all aspects of order processing. This role will work closely with the shipping team to ensure all orders are shipped correctly and in a timely manner along will providing a positive sales experience to customers by being responsive to customer and team needs.

 

Duties & Responsibilities:

  • Deliver outstanding customer service by responding to and handling all calls and emails regarding customer orders.
  • Manage the shipping reports daily for end of day external customer reporting.
  • Perform end-of-day audit checks within the orders team to ensure all customer orders have been correctly submitted.
  • Respond to client emails and calls requiring same day response and resolution via email and/or phone call (preferred method to assure quick solutions).
  • Develop and maintain professional working relationships with current and potential customers, partners, and vendors.
  • Provide status and tracking data to leadership & customers as requested.
  • Handle all daily inquiries for rush orders and revisions to orders in process.
  • Work with the sales team to provide solutions to our customers when they face order and/or shipping challenges.
  • Perform other related duties as assigned.

 

Skills & Abilities:

  • Ability to maintain polite & helpful attitude when dealing with high stress customer situations.
  • Proficient in Microsoft Office Suite or similar software
  • Ability to learn new or updated software
  • Ability to work independently & in a team environment as needed
  • Ability to work within order management guidelines provided
  • Strong attention to detail
  • Basic knowledge of office equipment
  • Ability to adapt to a dynamic environment

 

Education & Experience:

  • High school diploma or equivalent required
  • Experience with Quickbooks, Zoho, and proprietary shipping software preferred
